We are seeking a highly skilled and proactive Executive Assistant to support our senior executive team and broader organization. Reporting to the Administrative Supervisor, you will collaborate with leaders, project managers, and administrative staff to ensure smooth operations while upholding the highest standards of professionalism, accountability, and confidentiality.

As an Executive Assistant, you will:
Prepare, edit, and refine business documents, including correspondence, reports, presentations, and spreadsheets.
Maintain and update content on RLGs SharePoint intranet, ensuring accuracy and high-quality presentation.
Support internal and external communications, including drafting or coordinating professional social media posts (e.g., LinkedIn).
Manage complex calendars, resolve scheduling conflicts, coordinate multiparty meetings, and plan detailed travel itineraries across time zones.
Facilitate crossteam communication by preparing meeting materials, taking minutes, and supporting highlevel meetings and events.
Support business development activities by maintaining client communications, updating the CRM database (MS Dynamics), and conducting research to support strategic initiatives.
Establish and maintain the leadership operating rhythm (weekly, monthly, quarterly routines).
Coordinate corporate travel, manage travel provider relationships, and handle corporate credit cards and expense reporting.
Lead the planning and execution of large-scale corporate events such as retreats, leadership offsites, and major internal meetings.
Assist in planning company-wide events such as regional workshops, annual award events, and leadership summits.
Collaborate across business units, provide backup administrative support, and adapt to shifting priorities with the Global Support team.
Handle sensitive information with discretion and professionalism.

Experience with Concur, MS Dynamics, and InDesign (an asset).
Social media savvy and comfort drafting professional posts.
Ease with modern digital tools, including AI-assisted productivity tools (e.g., Copilot, ChatGPT) and marketing tools like Canva.
Professionalism under pressure and sound judgment.
Flexibility for occasional early meetings and ability to travel for business within and outside Canada.
Ownership mindset with the ability to work independently.
To qualify for this role, you must have:
A minimum of 5 years' experience supporting executives in a professional service or corporate environment.
Strong project coordination and organizational skills.
Experience planning and supporting large-scale corporate events and meetings, including logistics, vendor coordination, and on-site execution.
Proven ability to prioritize work, solve problems independently, and execute tasks with minimal supervision.
Experience working in a fast-paced environment where confidentiality and discretion are essential.
