Job Description
We're seeking a dynamic, highly organized, and proactive Office Coordinator / Workplace Lead to serve as
the heartbeat and operational anchor and primary administrative manager for our Austin office. In this role,
you'll manage day-to-day office operations, coordinate catering, manage operating expenditures, implement
administrative office policies and procedures, and act as our on-site culture champion to drive office
utilization and deliver a best-in-class workplace experience.
Reporting directly to the Director of Workplaces, you'll also partner closely with our Workplace and
Engagement Specialist to support event logistics, vendor and property relationships, and local people
engagement, Employee Resource Group (ERG) activities, and internal communications.
Office Operations & Support
Local Point of Contact:
Serve as the primary face of the Austin office, welcoming employees and visitors while maintaining a warm and highly functional workspace.
Facilities & Business Continuity:
Plan and manage local facility operations, space allocation strategies, and local business continuity/emergency action plans with independent decision-making authority.
Local Site Management:
Serve as the primary operational leader and on-site administrative contact for the Austin office, managing daily facility needs, office maintenance, and workspace setups.
Vendor Sourcing & Expenditure Management
Vendor Sourcing & Evaluation:
Identify, source, and assess proposals for local office vendors, catering partners, and facilities service providers, making strategic recommendations to leadership.
Vendor & Property Oversight:
Oversee on-site property management, cleaning crews, contractors, and service providers to ensure deliverables meet company standards and service level agreements.
Budget Oversight & Expense Analysis:
Analyze operational office expenditures, track local site operating budgets, and autonomously manage day-to-day purchasing for office supplies, snacks/beverages, catering, and site events within budget parameters.
Culture & People Engagement
Engagement Activation:
Plan, coordinate, and execute local people engagement initiatives, logistics, and site-wide activations to drive workplace community and office utilization.
Cross-Functional Collaboration:
Partner with the Workplace Engagement Specialist and Director of Workplaces to align local events, Employee Resource Group ERG activities, and workplace experience strategies.
Internal Communications:
Author and distribute internal workplace communications, announcements, and local events calendars to keep team members informed and engaged.
