Position: Supply Chain Specialist
Position Reports To: Plant Manager
Position Overview
The Supply Chain Specialist drives shareholder value by supporting operations management to implement programs to bring efficiencies, reduce costs and improve collaboration among Production, Sales, QA, Marketing, and Finance. Ensures timely delivery of materials and services for the Plant, Warehouse, and office that meet company specifications and consumer expectations.
Responsibilities:
Ensure quarterly demand forecasts are communicated to suppliers in a timely manner to secure packaging materials and support uninterrupted operations.
Collaborate closely with the Master Planner to review packaging forecasts and ensure appropriate inventory levels are maintained to meet demand, including minimum, maximum, and safety stock requirements.
Purchase all materials required for daily operations from pre-approved suppliers, and ensure that any new suppliers complete the required approval process, including documentation review, specification compliance, and QA approval
Manage inventory to ensure packaging and ingredient materials comply with internal audit requirements and external CFIA regulations.
Ensure a strong working knowledge of internal material standards by routinely reviewing bills of materials, performing production floor and dry storage inspections, and maintaining ongoing communication with supervisors. Ensure inventory within the dry storage area is received, stored, and distributed in a well-organized and efficient manner to support operational effectiveness and inventory control.
Ensure all documentation, including letters of guarantee, specification sheets, and third-party audit reports, is current and maintained in accordance with QA’s requirements.
Oversee inventory levels through the ERP system to ensure the timely execution of purchase orders, proactively tracking orders to maintain on-time delivery, and prevent disruptions to the production cycle.
Lead purchasing activities and vendor services for office supplies, coffee, water coolers, uniforms, and PPE across office, warehouse, and plant facilities, ensuring all expenditures are aligned with established company policies and guidelines.
Strengthen supplier relationships by driving clear and consistent communication, ensuring all interactions align with company policies and guidelines.
Ensure accurate and up-to-date recordkeeping of pricing sheets, open contracts, and specification documents, while maintaining pricing integrity across systems and effectively communicating updates to accounting.
Monitor supplier performance to ensure all materials meet specification requirements, investigating and resolving defects, packaging equipment issues, and visual discrepancies.
Work closely with suppliers to develop and implement sustainability and cost optimization initiatives that support long-term business growth and efficiency.
Develop and maintain a strong understanding of raw materials used in packaging production (e.g., EVOH, IFCO, paper-related inputs), including awareness of market conditions and potential supply disruptions.
Drive continuous improvement initiatives aimed at reducing dry goods shortages by partnering with planning, materials handling, and production teams. Develop a strong understanding of waste factors, material flow, and storage practices to ensure accurate oversight of the entire product lifecycle. Conduct sourcing initiatives (research) for local suppliers that meet the requirements of the business.
Participate in weekly marketing meetings and contribute to the successful execution of new initiatives by providing the team with cost estimates, projected packaging procurement timelines, and supplier capability assessments.
Participate in weekly production planning meetings, as scheduled by the Master Planner, and ensure the team is kept informed of relevant updates, and potential supply-related risks. Assist Plant Manager with ongoing projects and ensure timely execution of key projects.
Provide day-to-day oversight to the Material Handler and Dry Goods Receiver, ensuring effective execution of daily responsibilities, inventory accuracy, and compliance with Quality Assurance and Health & Safety procedures.
Key Success Measures
Ensure effective inventory management process is followed.
Inventory control is such that product wastage and shortages are per Company plan.
Maintain a high level of professionalism with vendors, field vendor enquiries, and report on vendor performance to appropriate department managers.
Identify bottlenecks, and waste in our internal and external supply chains and recommend, and assist managers implement new practices once approved.
Develop measuring tools that will allow us to benchmark our internal process to evaluate current performance.
Lead supply chain processes focused on cost reduction and reducing our carbon footprint while improving service levels to our customers.
Qualifications & Considerations for the Position
College diploma or University Degree in a relevant field such as Supply Chain or Business Administration is preferred.
2 years’ Supply Chain Administration experience within the perishable food industry an asset.
Knowledge of generic procurement procedures and practices.
Medium to high level proficiency with Excel (including Formulas, pivot tables) and ERP systems (MS Dynamics 365) is an asset.
Apply knowledge of supply chain requirements and processes when creating, managing and processing tasks as required by the company.
Ability to perform above average mathematical computations.
Excellent time management skills and exhibits strong problem-solving skills.
Proven organizational, interpersonal and communication skills, with the ability to multitask and work independently with a sense of urgency and attention to detail.
Demonstrated ability to handle high work volumes and multiple priorities with consistent high quality and adherence to strict deadlines.
Enthusiastic, flexible and consistent with a strong team work attitude.
Fast learner with keen interest to grow and develop with the role and business requirements.
Salary range: $70,000 - $85,000
