Position Overview:
We are seeking a detail-oriented Service Support Coordinator to join our team. This is an excellent entry-level opportunity for someone who enjoys working with systems, documentation, and internal coordination in a fast-paced service environment.
In this role, you will play a key part in managing the administrative lifecycle of maintenance work orders—from initial setup through to completion and invoicing. This position is highly process-driven and paperwork-intensive, requiring strong computer skills, attention to detail, and the ability to manage multiple priorities.
While this is not a client-facing role, you will collaborate closely with a variety of internal stakeholders, including planners, supervisors, and operations teams, to ensure smooth execution of service work.
Job Description:
Key Responsibilities
Service Planning & Coordination
Review and validate information for work order creation (Maintenance Customer Orders – MCOs)
Open and structure work orders in alignment with approved scope, budget, and timelines
Review service history, identify risks, and flag concerns to internal teams
Ensure all required documentation and approvals are complete and accurate
Process Management & Administration
Maintain real-time updates across systems (e.g., Salesforce, internal service tools)
Process administrative requests including warranty, goodwill, and SG&A forms
Perform work order adjustments (labour, parts, billing changes)
Coordinate logistics such as transportation, third-party vendors, and site access
Schedule and support planning meetings; capture action items and updates
Track risks, delays, and changes, and communicate them to stakeholders
Work Order Closure & Invoicing
Ensure all documentation is complete and meets quality standards
Follow up on outstanding items (labour, billing, reports, parts returns)
Prepare work orders for invoicing and final review
Monitor and escalate delays to support timely billing and closure
Internal Support
Provide timely updates to internal teams on job status and progress
Support planners and supervisors with administrative coverage as needed
Participate in internal meetings and contribute to workflow coordination
What You Bring
Skills & Abilities
Strong attention to detail and accuracy in documentation
Excellent organizational and time management skills
High level of proficiency with computer systems and Microsoft Office
Ability to learn and navigate multiple systems (Salesforce experience is an asset)
Strong communication and collaboration skills with internal teams
Analytical mindset with the ability to identify risks and solve problems
Experience & Education
Post-secondary education in administration, business, or a related field (preferred)
2–4 years of experience in administrative, coordination, or support roles
(experience in service, construction, oil & gas, dealership, or similar industries is an asset)
