Job Purpose The Senior Logistics Specialist – Vehicle Management & Repair is responsible for coordinating and optimizing logistics activities related to vehicle maintenance, repair, spare parts, and vehicle movement across the fleet. The role ensures the timely availability of vehicles, spare parts, and service resources to support fleet readiness, minimize vehicle downtime, and maintain operational efficiency. The role works closely with Fleet Service, Workshops, Service Vendors, Procurement, Warehouse, Operations, and Driver Management teams to ensure efficient logistics planning, inventory control, service coordination, and end-to-end vehicle maintenance support. Key Responsibilities 1. Vehicle Maintenance & Repair Logistics Coordinate the end-to-end logistics activities supporting vehicle maintenance, repair, inspection, and service operations. Monitor vehicle movement between depots, service hubs, workshops, and third-party service providers. Coordinate vehicle transportation, towing, recovery, and relocation activities when required. Track vehicle status throughout the maintenance and repair lifecycle to ensure timely return to operational service. Identify and resolve logistics bottlenecks that may impact vehicle availability and operational readiness. Maintain accurate records of vehicle movements, service status, repair timelines, and related logistics activities. 2. Spare Parts & Material Logistics Coordinate the availability and timely delivery of spare parts, consumables, tools, and maintenance materials required for vehicle repair and servicing. Work closely with Procurement, Warehouse, Workshops, and service vendors to monitor spare parts requirements and replenishment. Track spare parts delivery status and escalate potential shortages or delays that may affect repair turnaround time. Support inventory planning and ensure appropriate stock levels based on fleet size, maintenance demand, and operational requirements. Monitor the movement and utilization of spare parts and maintenance materials across service locations. Support the implementation of efficient spare parts logistics and inventory control processes. 3. Workshop & Vendor Coordination Coordinate with internal workshops, authorized service centers, third-party workshops, logistics providers, and other service vendors. Monitor vendor service delivery, turnaround times, logistics performance, and adherence to agreed service standards. Follow up on delayed repairs, vehicle transportation, spare parts delivery, and other logistics-related issues. Support vendor performance monitoring and provide operational data and feedback for service improvement. Escalate critical service and logistics issues to the Fleet Service Lead / Fleet Service Manager. Maintain effective working relationships with external partners to ensure smooth service execution. 4. Fleet Readiness & Downtime Management Monitor vehicle downtime caused by maintenance, repair, spare parts shortages, transportation delays, or other operational issues. Analyze the root causes of prolonged vehicle downtime and recommend corrective actions. Coordinate with Fleet Service and Operations teams to prioritize vehicle repairs and optimize vehicle availability. Support vehicle replacement and reallocation planning when vehicles are unavailable for extended periods. Ensure repaired and serviced vehicles are properly coordinated for inspection, handover, and return to operations. Contribute to initiatives aimed at improving fleet utilization, vehicle availability, and service continuity. 5. Logistics Performance & KPI Management Monitor and report key logistics and fleet service performance indicators, including: Vehicle Downtime Repair Turnaround Time Spare Parts Availability Spare Parts Fulfillment Rate Vehicle Movement / Transportation Lead Time Maintenance Service Completion Rate Fleet Availability / Vehicle Uptime Logistics Cost Vendor Service Performance Prepare regular operational reports and performance analysis for management review. Analyze operational data to identify trends, inefficiencies, and opportunities for improvement. Support the Fleet Service Lead / Manager in developing action plans to improve logistics performance and reduce operational costs. 6. Process Improvement & Operational Excellence Identify gaps and inefficiencies in vehicle service logistics, spare parts flow, inventory management, and workshop coordination. Propose and implement process improvements to reduce vehicle downtime and improve service turnaround time. Support the standardization of logistics processes, SOPs, workflows, and reporting mechanisms. Identify opportunities to improve logistics visibility through digital tools, dashboards, and data management. Support continuous improvement projects related to fleet maintenance, repair, spare parts, and operational efficiency. 7. Compliance & Documentation Ensure logistics and vehicle service activities comply with company policies, SOPs, safety requirements, and applicable local regulations. Maintain accurate and up-to-date records related to vehicle movement, maintenance logistics, spare parts, and vendor activities. Support documentation and audit requirements related to vehicle service and logistics operations. Ensure appropriate documentation is maintained for vehicle transportation, repair services, spare parts movement, and vendor transactions. Identify and escalate compliance risks and operational control gaps. 8. Cross-functional Collaboration Work closely with Fleet Service, Fleet Operations, Vehicle Management, Procurement, Warehouse, Finance, Operations, Driver Management, and other relevant functions. Coordinate cross-functional activities to ensure timely vehicle maintenance, repair, and return to service. Provide logistics insights and recommendations to support fleet planning and operational decision-making. Support new depot, service hub, and fleet expansion projects from a logistics and operational readiness perspective. Participate in cross-functional initiatives to improve overall fleet performance and operational efficiency. Requirements Bachelor's degree in Logistics, Supply Chain Management, Operations Management, Automotive Engineering, Mechanical Engineering, Business Administration, or a related field. Minimum 3–5 years of experience in logistics, fleet operations, vehicle maintenance, supply chain, workshop operations, or related fields. Experience in fleet logistics, vehicle transportation, spare parts logistics, or maintenance operations is highly preferred. Strong understanding of logistics planning, inventory management, vehicle movement, and operational coordination. Experience working with workshops, service centers, logistics providers, suppliers, and third-party vendors. Strong analytical and problem-solving skills with the ability to identify root causes and implement practical solutions. Experience monitoring operational KPIs and preparing performance reports. Strong coordination, communication, negotiation, and stakeholder management skills. Good understanding of cost control and operational efficiency principles. Ability to manage multiple priorities and work effectively in a fast-paced operational environment. Proficiency in Microsoft Excel / Google Sheets and operational reporting tools; experience with ERP, WMS, TMS, or BI systems is an advantage.
