Role Summary The Senior Asset Management Specialist is responsible for overseeing the end-t end lifecycle management of the company's physical assets, ensuring accurate asset tracking, efficient allocation, inventory control, and compliance with corporate policies. This role plays a key part in maintaining asset visibility, supporting operational efficiency, minimizing asset loss, and providing reliable asset data for business decision-making. The position works closely with cross-functional teams to ensure assets are effectively managed from acquisition through disposal while continuously improving asset management processes and systems. Key Responsibilities Asset Lifecycle Management Manage the complete lifecycle of company assets, including acquisition, registration, deployment, transfer, maintenance, recovery, retirement, and disposal. Ensure all assets are properly tagged, recorded, classified, and maintained within the asset management system. Monitor asset movements and ownership changes to maintain accurate records across all business locations. Asset Inventory & Control Maintain accurate and up-to-date asset inventory databases and tracking systems. Conduct scheduled physical asset verification, cycle counts, and annual asset audits. Reconcile discrepancies between physical inventory and system records, investigating root causes and implementing corrective actions. Monitor asset conditions and coordinate maintenance or replacement when necessary. Asset Allocation & Operational Support Coordinate asset requests, allocation, relocation, and returns to support business operations. Collaborate with IT, Facilities, Procurement, Finance, and other departments to ensure timely asset distribution and recovery. Support onboarding and offboarding processes by ensuring assets are assigned, collected, and documented accurately. Reporting & Analysis Prepare regular and ad hoc reports on asset inventory, utilization, depreciation, movements, losses, and disposal activities. Analyze asset utilization trends and recommend optimization opportunities to improve operational efficiency and reduce unnecessary asset purchases. Develop dashboards and KPIs to monitor asset performance and inventory accuracy. Compliance & Governance Ensure compliance with internal asset management policies, financial controls, and audit requirements. Maintain complete documentation for asset purchases, transfers, disposals, write-offs, and approvals. Support internal and external audits by providing accurate records and required documentation. Identify risks related to asset management and recommend process improvements to strengthen internal controls. Process Improvement Participate in implementing and enhancing asset management systems, ERP modules, and inventory control tools. Recommend process improvements to increase efficiency, data accuracy, and asset visibility. Develop and maintain standard operating procedures (SOPs) related to asset management. Provide guidance and training to employees on asset management procedures and best practices. Qualifications & Requirements Education Bachelor's degree in Finance, Accounting, Business Administration, Supply Chain Management, Logistics, Industrial Engineering, or a related discipline. Experience Minimum of 3–5 years of experience in asset management, inventory control, warehouse administration, facilities management, or operational support. Experience managing high-volume asset inventories within a corporate environment is preferred. Experience working with ERP systems, asset management software, or inventory management platforms is highly desirable. Technical Skills Proficiency in Microsoft Excel, including Pivot Tables, VLOOKUP/XLOOKUP, Power Query, and data analysis functions. Familiarity with ERP systems such as SAP, Oracle, Microsoft Dynamics, Odoo, or other enterprise asset management solutions. Ability to generate analytical reports and dashboards using reporting or business intelligence tools is an advantage.
