As the first point of contact for clients and visitors, the Receptionist / Runner plays an important role in creating a positive client experience and supporting the daily operations of the firm. This dynamic position combines front desk reception, administrative support, records management, and local courier duties, making it an excellent opportunity for someone who enjoys variety, takes initiative, and thrives in a professional office environment. Key Responsibilities include: Welcome clients and visitors in a warm, professional, and courteous manner. Answer and direct incoming telephone calls and relay messages accurately. Process client payments over the phone as required. Manage the firm's general email inbox and route inquiries to the appropriate team members. Assist with client intake and identification procedures in accordance with firm policies. Coordinate boardroom and meeting room bookings. Process incoming and outgoing mail, courier packages, and registered mail. Coordinate courier pickups and deliveries. Complete regular runs to local law firms, the courthouse, City Hall, and other locations for document delivery and pickup. Open, close, and maintain client files within the firm's systems. Organize, archive, retrieve, and manage physical and off-site file storage. Maintain filing systems, including wills and records management processes. Assist with invoice sorting and filing. Order and maintain office, kitchen, and stationery supplies. Stock printer stations and common areas throughout the office. Maintain the cleanliness and organization of reception, kitchen, and shared spaces. Coordinate lunch pickups and hospitality arrangements as required. Assist with facility maintenance requests and liaise with property management when needed. Support various administrative and operational functions to ensure the office runs efficiently. Handle all responsibilities with a high degree of confidentiality, professionalism, and discretion. Requirements Previous experience in a reception, administrative, customer service, or office support role. A friendly, professional, and service-oriented approach. Strong organizational and time-management skills with excellent attention to detail. Ability to manage multiple priorities in a fast-paced environment. Strong verbal and written communication skills. A proactive attitude with the ability to work independently and take initiative. High level of professionalism, discretion, and confidentiality. Comfortable using Microsoft Office and general office technology. Experience with legal software such as Synergy or Acumin is considered an asset. Law firm or professional services experience is an asset but not required. Valid BC Driver's Licence and access to a reliable vehicle for local deliveries and errands. Benefits Competitive compensation of $23 - $27 per hour.
