What youll do
Reporting to the Senior Vice President, Operations and working as part of a cross-functional team, the Purchasing Specialist is responsible for managing the end-to-end purchasing process. This role requires building strong supplier relationships, serving as the main point of contact for order inquiries, and coordinating across the organization to align purchasing with production needs.
This includes:
Create, process, and manage purchase orders (POs) in accordance with company policies
Monitor order status and proactively follow up with vendors to ensure on-time delivery
Maintain strong relationships with suppliers and act as the primary point of contact for order-related inquiries
Review inventory levels and demand signals within the MRP/ERP system to support timely procurement decisions
Analyze inventory requirements to prevent stockouts or excess inventory
Monitor office supply inventory (cleaning supplies, coffee, tea, stationary, etc.) and proactively replenish supplies to ensure availability
Perform regular inventory counts and support cycle counting processes to ensure inventory accuracy
Prepare and kit electronic components for shipment to contract manufacturers, ensuring accuracy and completeness
Coordinate with internal teams (operations, engineering, finance, warehouse) to align purchasing and production needs
Assist in vendor selection and evaluation in accordance with Quality Management System (QMS) requirements
Support supplier performance monitoring, including quality, delivery, and cost metrics
Resolve discrepancies related to pricing, quantities, or deliveries in collaboration with vendors and internal stakeholders
Maintain accurate purchasing records, vendor data, and documentation
Assist in sourcing new suppliers and obtaining quotes to support cost savings and supply continuity
Ensure compliance with company procurement policies and relevant regulations
Maintain a clean, and safe working environment
Perform duties in a manner that is consistent with and committed to upholding the requirements of the quality management system
Additionally, due to the ever-changing and sometimes chaotic environment of an early-stage high-tech company, the Purchasing Specialist may assume additional responsibilities, as required.
What youll bring
Certificate, diploma, or equivalent training and/or experience in Supply Chain, Business Administration, or a related field
2-5 years of experience in purchasing, procurement, or supply chain operations
Proficiency in Microsoft Excel (e.g., VLOOKUPs, pivot tables)
Experience working with electronic components or in a manufacturing environment is an asset
Hands-on experience with MRP/ERP systems (e.g., SAP, Oracle, NetSuite, or similar) is an asset
Experience with Lean Six Sigma is an asset
Familiarity with Quality Management Systems (QMS) and supplier evaluation processes is an asset
Strong understanding of inventory management principles and supply planning
Excellent communication and vendor management skills
High attention to detail and strong organizational abilities
Ability to prioritize tasks and manage multiple orders in a fast-paced environment
Analytical mindset with the ability to interpret data and make informed purchasing decisions
Problem-solving skills with the ability to resolve order and supply issues efficiently
The details
Employment status: Permanent full time.
Schedule: 40 hours per week, generally Monday to Friday from 8:30 a.m. to 5:00 p.m. Daily hours may vary depending on vendor time zones and business operating hours. The successful candidate must be able to adjust their schedule as needed to meet these requirements.
Work location:Calgary, Alberta.Please note that this position is required to work onsite at our Head Office located at Suite 205, 1240 20thAvenue S.E.
