Responsibilities + Support assistant project managers, project managers, and project directors in planning, organizing, and tracking project deliverables to ensure timely completion. + Coordinate day-to-day project activities within industrial or plant engineering environments, including refineries and other plant-based facilities. + Use Microsoft Excel to develop reports that track project performance, key data, and milestones so projects can meet critical timelines. + Prepare, format, and maintain project documentation using Microsoft Word, including reports, logs, and other project records. + Create and update presentations in Microsoft PowerPoint to support internal and external project meetings. + Perform data entry and maintain accurate records of project information, ensuring all documentation is current and properly organized. + Assist with document control by organizing, storing, and retrieving project documents and ensuring version control is maintained. + Support project managers with change order documentation, tracking, and communication as needed. + Coordinate and maintain communication with vendors, clients, and internal stakeholders to help move projects forward and resolve issues promptly. + Monitor project deliverables and deadlines, and follow up with stakeholders to ensure tasks are completed on schedule. + Provide general administrative support to the project team, including scheduling meetings, preparing meeting materials, and recording meeting notes. + Collaborate with engineering and construction teams to ensure project documentation and deliverables align with project requirements. + Assist in the preparation of project status updates and summary reports for leadership and stakeholders. Essential Skills + High school diploma or equivalent education. + Minimum of 6 years of experience working as a project coordinator or project administrator in an industrial engineering or plant engineering environment. + Demonstrated experience supporting engineering or construction projects in plants, refineries, or similar industrial settings. + Strong proficiency with Microsoft Excel, including the ability to develop reports and track project performance data. + Proficiency with Microsoft PowerPoint for preparing and updating project presentations. + Proficiency with Microsoft Outlook for managing communications and scheduling. + Experience with project coordination, including organizing tasks, tracking deliverables, and supporting project timelines. + Experience in administrative support, including data entry, document control, and maintaining organized project records. + Proven ability to manage and maintain professional relationships with vendors, clients, and internal stakeholders. + Ability to assist with change order processes and related project documentation. + Strong attention to detail and organizational skills to manage multiple tasks and deadlines. + Effective written and verbal communication skills for interacting with diverse project teams and stakeholders. Additional Skills & Qualifications + Experience using Microsoft 365 tools or project planner applications is a plus. + Experience working in construction-related environments within engineering or plant settings. + Familiarity with project management principles and practices. + Ability to interpret and track project deliverables and performance metrics. + Comfort working with engineering and plant operations teams in refineries or similar facilities. + One-year contract opportunity offering paid time off and holiday benefits. Work Environment This position is based in an office environment supporting industrial and plant engineering projects. The role typically requires working 40 hours per week, with the potential for flexibility depending on project deliverables and deadlines.
