About the Role The Program Assistant Trades Ready Training (TRT) plays a key role in supporting program delivery through accurate record-keeping, administrative coordination, and client support. This position ensures that participant data, documentation, and reporting processes are complete, consistent, and aligned with organizational and funder requirements. Working closely with program staff, instructors, and participants, the Program Assistant contributes to a smooth and efficient program experience by supporting day-to-day operations, maintaining organized records, and assisting with coordination activities in a fast-paced, client-centered environment. Hybrid in this role refers to a combination of on-site service delivery and community-based work (e.g., employer visits, workshops, outreach, and client meetings). This is not a work-from-home position. Remote work occurs only occasionally, based on program needs. About the TRT Program Trades Ready Training (TRT) supports newcomers and equity-seeking individuals in preparing for entry into skilled trades pathways. The program focuses on building foundational skills, workplace readiness, and industry awareness while connecting participants to training, certifications, and employment opportunities. TRT integrates hands-on learning, classroom instruction, and coordinated supports to help participants navigate pathways into trades careers with confidence. Accurate documentation, participant tracking, and program coordination are essential to ensuring quality delivery and successful outcomes. What Youll Do Enter and maintain accurate participant information across databases, spreadsheets, and case management systems. Maintain complete, organized, and up-to-date electronic and paper files in alignment with program and funder requirements. Review and verify data for accuracy, completeness, and consistency across all documentation. Identify and resolve discrepancies or missing information in collaboration with program staff. Support file management processes including scanning, uploading, archiving, and document organization. Assist with preparing reports, tracking participation, and supporting program performance monitoring. Coordinate administrative tasks such as scheduling, document collection, and participant communication. Provide follow-up support to participants and respond to internal and external inquiries. Support audit readiness, data validation, and quality assurance processes. Contribute to improving administrative workflows, records management systems, and program processes. What It Takes Strong attention to detail and commitment to data accuracy and quality. Ability to manage high volumes of information while meeting deadlines. Solid understanding of administrative coordination and records management practices. Strong organizational and time-management skills. Professional communication skills with both participants and internal teams. Ability to maintain confidentiality and handle sensitive information with discretion. Analytical thinking and problem-solving skills to identify and resolve data issues. Comfort working with databases, spreadsheets, and digital systems. Ability to work independently and collaboratively in a team environment. What You Bring We recognize that skills and experience are developed through a combination of education, experience, and practical application. Experience in administrative support, data entry, records management, or program coordination. Experience working with databases, spreadsheets, and electronic file management systems. Strong proficiency in Microsoft Office tools (Excel, Word, Outlook, Teams) and digital platforms. Demonstrated ability to manage high volumes of data with accuracy and consistency. Experience handling confidential information with professionalism and discretion. Strong organizational skills and ability to prioritize multiple tasks effectively. Excellent written and verbal communication skills. Preferred / Asset Qualifications Experience working in training programs, employment services, or non-profit environments. Experience working with immigrant, refugee, or equity-seeking populations. Familiarity with case management systems. Post-secondary education in administration, business, or a related field. Ability to communicate in a second language. Valid Class 5 drivers license.
