As a
Preconstruction Coordinator
, you will support the planning, coordination, and execution of preconstruction activities for a variety of construction projects. Reporting to the Preconstruction Manager, this role works closely with estimating, project management, business development, and design teams to ensure project budgets, schedules, procurement strategies, and documentation are effectively developed and managed prior to construction.
This position offers an excellent opportunity for a construction professional with experience in estimating, project coordination, and design management who is looking to play a key role in project development and delivery.
Key ResponsibilitiesBusiness Development & Client Engagement
Assist the Business Development and Proposal teams in identifying and pursuing new project opportunities.
Participate in Matheson's business development initiatives, industry networking events, and client engagement activities.
Present proposals and project solutions to owners, consultants, and stakeholders.
Build and maintain strong relationships with clients, architects, consultants, subcontractors, and industry partners.
Preconstruction Planning & Coordination
Support the development of procurement schedules, risk matrices, construction plans, project schedules, and key milestones.
Coordinate with the Preconstruction Manager, Project Managers, Schedulers, and Superintendents to align project objectives related to quality, schedule, cost, and execution strategies.
Participate in preconstruction activities including budget development, scheduling, design reviews, constructability assessments, and trade contractor engagement.
Assist with conceptual budgeting and cost planning throughout the preconstruction phase.
Update and maintain project budgets as projects progress in collaboration with the estimating team.
Prepare and maintain budget narratives, assumptions logs, presentation materials, and other supporting documentation.
Estimating & Procurement Support
Assist in preparing budgets and estimates for Construction Management and Design-Build projects.
Develop and maintain subcontractor invitation lists for tender opportunities.
Coordinate tendering activities and manage the distribution of tender packages.
Support procurement activities, including:
Subcontractor prequalification
Consultant procurement
Tender package development and issuance
Tender analysis and evaluation
Award recommendations
Contract negotiations
Design Management & Project Development
Coordinate project requirements between clients, architects, consultants, design teams, and construction personnel.
Participate in design reviews to ensure constructability, cost effectiveness, and alignment with project objectives.
Work with the BIM team to develop 4D schedules and animated logistics plans.
Review drawings, specifications, and design documentation to ensure coordination between all project disciplines and Matheson's execution strategy.
Assist in evaluating contractual obligations, project risks, and design-related challenges.
Conduct site visits and participate in job safety analysis activities.
Permitting & Municipal Approvals
Manage building permit and development permit application processes, including submission documentation and supporting materials.
Coordinate approvals with municipalities, utilities, and Authorities Having Jurisdiction (AHJs).
Communicate with municipal planners, building officials, and regulatory agencies regarding project approvals and site plans.
Support Official Plan Amendments, Zoning By-law Amendments, Minor Variance applications, and Site Plan Approval processes.
Assist Architects and Designers of Record with design panel submissions, public consultation meetings, and municipal presentations.
Continuous Improvement & Project Support
Identify opportunities for improvement related to safety, environmental performance, cost management, scheduling, and operational efficiency.
Support project teams by providing technical, administrative, and coordination assistance throughout the preconstruction phase.
Perform other duties as assigned to support business unit and corporate objectives.
QualificationsEducation & Experience
Bachelor's Degree, College Diploma, or equivalent education in Construction Management, Engineering, Architecture, or a related discipline.
Minimum three (3) years of experience in the construction industry.
Experience in estimating, project coordination, and field operations.
Demonstrated experience with conceptual budgeting, cost planning, and design management.
Experience supporting Construction Management and Design-Build project delivery methods is considered an asset.
Technical Skills
Proficiency with MS Office
Experience preparing project budgets, including:
Hard costs
Soft costs
Project contingencies
Understanding of procurement processes, tendering, scheduling, and project controls.
Familiarity with BIM coordination and construction planning tools is considered an asset.
