What you'll be doing Onboarding & employee lifecycle Coordinate the new-hire onboarding experience: prepare onboarding materials and the welcome guide, arrange IT provisioning and system access, and organize first-week orientation and logistics. Collect and file signed employment agreements and policy acknowledgements. Manage benefits enrollment, guiding employees through registration and answering their questions. Prepare offboarding documentation and coordinate a consistent, compliant exit process, including scheduling exit interviews and capturing feedback in HiBob. HR administration & systems Draft and issue employment and verification letters, including customized letters for non-standard requests. Act as the first point of contact for employee HR inquiries in English and French, escalating complex matters as needed. Maintain accurate, audit-ready employee records in HiBob (our HRIS) — including updates tied to performance review cycles, learning, internal moves, and promotions — while serving as a hands-on system administrator: managing module settings, configuration, and employee data changes. Track and prepare documentation for work permits, extensions, and permanent residency applications, partnering with the People & Culture team who provide employee guidance. Support the broader People & Culture team with general administration and reporting, and take on other projects and responsibilities as assigned by your manager. Culture, engagement & language programs Manage Nakisa's participation in the FMT (francisation en milieu de travail) program, coordinating course logistics with Francisation Québec and administering the related funding agreement and reporting. Coordinate training and learning initiatives, including scheduling and maintaining LMS records and completions. Contribute to Social Committee initiatives and employee engagement activities. Compliance & audit support Maintain organized, audit-ready HR records that meet internal compliance standards. Partner with the Compliance team to provide HR documentation for audits (e.g., SOC 2). Help develop and update HR policies and process documentation. Conduct quality and validation audits on employee digital files to ensure accuracy and completeness. What you bring 1–2 years of experience in People & Culture, HR, or a related administrative role. A degree in Human Resources, Business Administration, or related field. Full professional fluency in English and French, written and verbal. Hands-on use of AI tools (Claude, Microsoft 365 Copilot, or equivalent) to work faster and produce higher-quality work — this is a core, non-negotiable part of how our team operates. Comfort with HRIS and HR platforms (e.g., HiBob, Microsoft 365) and the ability to pick up new tools quickly. Strong organization, attention to detail, and the ability to manage multiple priorities. Discretion and professionalism when handling confidential information. A collaborative, service-oriented mindset. Nice-to-haves Membership with the CRHA, or working toward it, is an asset. Experience in a B2B SaaS or technology company. Hands-on experience administering or configuring an HRIS (e.g., HiBob).
