Duties and Responsibilities: Responsible for conducting opening and closing procedures. Monitor public while in building and control traffic to restricted areas. Assist with onsite contractor visits and complete sign-in/sign-out. Aid with set-up/take-down for programs, events, and rentals. Respond to telephone, email, and public inquiries. Enforce and communicate building-specific policies and procedures to visitors as required. Report incidents of theft, vandalism, damage and/or altered displays immediately. Conduct retail sales from gift shop and assist with inventory and merchandising. Communicate with artists to schedule appointments. Facilitate online, in person, and over the phone program registrations. Update internal communication signage and building hours. Scan, clip, record, and file media coverage. Update, process, and organize donors, members, and newsletters lists. Assist with the development and distribution of the annual community report and newsletters. Compile and print board packets for Director/Curator. Assist with mailing and setting up courier packages. Operate Perfect Mind POS Registration system, debit/credit card machine, reconcile daily cash and receipts, and prepare bank deposit slips. Schedule, book, and coordinate travel and accommodation for guest artists and contractors in collaboration with the Director/Curator. Work with the Director/Curator on the development and execution of special events and fundraising events. Perform other related duties as assigned. Qualifications: Essential: Grade 12 education and/or relevant experience will be considered Experience dealing with computerized retail transactions and a multi-line phone system Experience with Microsoft Office software programs Strong communication and multi-tasking skills Highly developed organizational skills with good attention to detail Enjoys working with the public in a fast-paced environment Able to work with minimal supervision Preferred: Standard First Aid, CPR/AED an asset Experience with online platforms such as Canva and MailChimp an asset An interest in Art and Art Making is an asset Working Conditions: Indoor public office conditions Subject to frequent interruptions Shifts will be scheduled to include evenings and weekends Lifting of up to 50 lbs. may be required and handling artwork The City of Woodstock is committed to diversity and inclusivity in employment and welcomes applications from qualified individuals of diverse backgrounds.
