The Operational Planning Coordinator is responsible for overseeing the evaluation, planning, and delivery of all operational and administrative functions within the Field Operations and Special Business department. Working in close collaboration with the Field Management leadership team and cross-functional internal departments, the incumbent ensures that all Special Business projects are executed to the highest departmental standards. This role requires a thorough understanding of Paladin Security's operational structure, strong administrative acumen, and the ability to coordinate complex, multi-faceted assignments with accuracy and professionalism.
QUALIFICATIONS
• Minimum one (1) year of security experience
• Proficiency in Microsoft Office Suite (Excel, Word, Outlook); familiarity with business intelligence (BI) reporting tools is an asset.

• Valid Driver's licence in good standing.
• High school diploma or equivalent required; post-secondary education in business administration, criminology, or a related field is an asset.
FUNCTIONS AND MAJOR DUTIES
Operational Oversight
• Monitor Special Business workload and provide staffing recommendations based on operational demand and budget parameters.
• Discuss security requirements with prospective and existing clients; ensure all contractual agreements are established and documented in accordance with company standards.
• Develop and maintain post orders, risk assessments, and operational briefing documents for all Special Business and Special Coverage projects.
Resource and Inventory Management
• Maintain a comprehensive inventory of radios and related accessories; track deployment, ensure proper working order, and coordinate repair or replacement as needed.
• Manage the inventory of specialized uniforms, including ordering, issuance tracking, and ensuring the return of uniforms upon project completion or officer departure.
• Monitor and coordinate a fleet of company vehicles, ensuring cleanliness, preventative maintenance, and deployment in compliance with Paladin fleet directives.
Project Management and Event Coordination
• Build comprehensive deployment timelines and event run-of-show documents, ensuring all operational, staffing, and logistical elements are accounted for well in advance.
• Coordinate pre-event briefings and lead structured post-event debriefs to capture lessons learned and identify opportunities for continuous improvement.
• Maintain a centralized project log for all active and upcoming Special Business deployments, providing regular status updates to the Field Operations Manager.
Client Liaison and Business Development Support
• Assist in the preparation of proposals, service quotes, and scope-of-work documents for prospective and existing Special Business clients.
• Conduct pre-event site visits and operational walkthroughs with clients to confirm logistical details and establish clear expectations prior to deployment.
• Maintain proactive client communication throughout the project lifecycle and follow up post-deployment to assess satisfaction and support contract renewal opportunities.
Reporting and Analytics
• Utilize business intelligence (BI) tools to generate analytical and performance reports for internal stakeholders.
• Develop and prepare professional presentations, briefing decks, and summary reports for departmental leadership, ensuring materials are accurate and ready for delivery on short notice.
• Prepare and present operational planning documents, scheduling analyses, and resource utilization summaries to support informed decision-making.
WORKING CONDITIONS
• A blend of administrative and online work is integral to this role; scheduling may vary based on operational demand.
• Office environment at Paladin Security headquarters (#201 - 3001 Wayburne Drive, Burnaby, BC), with periodic field visits to client sites as required.
