Position Title: Manager of Admissions Department Location: Astana, Kazakhstan About the Role Cardiff University Kazakhstan is seeking an experienced and proactive Manager of the Department of Admissions to coordinate and support the University's admissions processes for undergraduate and postgraduate programmes. The successful candidate will be responsible for coordinating admissions activities, supporting applicants throughout the admissions and enrolment process, ensuring the accurate and timely processing of applicant information, and working closely with academic and professional services teams at Cardiff University Kazakhstan and Cardiff University. Key Responsibilities Admissions Operations and Coordination Coordinate the day-to-day admissions activities of the Department within the scope of the role. Ensure that agreed strategies and admissions procedures are implemented in accordance with the University's Admissions Regulations, internal policies, procedures, and the approved admissions calendar. Coordinate the receipt, processing, and verification of applications and supporting documents, ensuring completeness and compliance with admissions requirements working in collaboration with Cardiff University Admissions. Monitor key admissions deadlines, including application submission, offer acceptance, document submission, and final enrolment. Ensure legal, compliance and regulatory requirements relating to admissions are met. Including timely publication of admissions procedures and policies as appropriate. Work with the Head of Admissions/Deputy Head of Admissions at Cardiff University to ensure that admissions standards and practices meet required standards. Line management of the Admissions Team including managing performance, induction and development of the Team. Applicant Support and Communication Ensure the provision of accurate and timely information and guidance to applicants, prospective students, parents/guardians, school counsellors, and University Agents regarding admission requirements, application procedures, deadlines, application status, offers, and enrolment, ensuring information is accessible and appropriate to the intended audience. Ensure timely responses to applicant enquiries through email, telephone, online platforms, and other appropriate communication channels. Support the organisation of applicant information sessions, Open Days, consultations, and other admissions-related activities, and manage the applicant appeals and complaints process. Admissions Systems and Data Management Ensure the timely and accurate entry, updating, verification, and reconciliation of applicant and student data in University systems, including SIMS, Platonus, and UPHE (ЕПВО). Where appropriate working with or in liaison with the Cardiff University Admissions department. Monitor the accuracy of data transferred to UPHE and coordinate the resolution of errors and discrepancies with relevant departments. Conduct regular reconciliation of data relating to enrolled, declined, and withdrawn students across SIMS, internal University records, and relevant government information systems. Admissions, Selection and Enrolment Support the preparation of fair and transparent competitive and ranking lists and materials for Admissions Committee meetings ensuring appropriate checking in advance of any decision making Ensure the provision of administrative and operational support for the enrolment of undergraduate and postgraduate students. Monitor conditional offers and take appropriate action to ensure that applicants provide required final academic documents, English language test results, and other conditions within the required deadlines. Support the administration of non-standard admissions cases, including programme changes, Recognition of Prior Learning (RPL), deferrals, and other cases within the Department's remit. Scholarships and Government Grants Support the administration of the competitive selection process for government-funded educational grants, including document verification and preparation of ranking and reserve lists where appropriate in collaboration with Cardiff University Admissions. Monitor reserve lists, withdrawals from government grants, and the redistribution of grants in accordance with approved procedures. Support the administration of the University's internal scholarship programmes, including Merit-Based and Provost Scholarships. Cardiff University Coordination Maintain effective operational communication with relevant departments and academic programme leads at Cardiff University Kazakhstan and Cardiff University. Coordinate matters relating to application review, academic and English language requirements, offer conditions, applicant status changes, and non-standard admissions cases. Support communication and coordination between admissions, academic, registry, and other relevant teams to ensure the timely progression of applicants through the admissions and enrolment process. Communication and Planning Contribute to the strategic planning and regular monitoring of the University’s recruitment and admissions strategies. Maintain an awareness of trends and external issues which affect university admissions Provide admissions advice and guidance to the CUK Admissions Committee and CU/CUK Senior Team. Ensure the scheduling of timely Admissions Committee and other associated meetings to ensure timely decision making and that requirements are signed off in sufficient time for any actions to be taken. Reporting and Process Improvement Collect, analyse, and maintain admissions data, including applications, offers issued, offers accepted, enrolments, withdrawals, and other relevant admissions indicators. Contribute to the preparation of admissions statistics, management reports, and other reporting for University management and relevant stakeholders. Identify operational issues, data discrepancies, and potential risks within the admissions process and escalate them to the appropriate person or department, proposing solutions where appropriate. Lead on the development and improvement of admissions procedures, workflows, templates, and information materials. Documentation and Administration Ensure the accurate maintenance, updating, and secure storage of admissions records, documents, registers, lists, and other relevant materials. Prepare drafts of official correspondence, reports, presentations, summaries, information materials, and other documents relating to admissions. Provide administrative support to the Admissions Committee and the Department during peak admissions periods. Perform other duties assigned by authorised University management within the scope of the role. Requirements Essential Bachelor's degree in Education, Business Administration, Management, or comparable professional experience. At least 3 years of relevant professional experience leading an admissions, student administration, higher education, or a related team. Experience working with applications, student records, documentation, and administrative processes. Strong interpersonal skills and the ability to work effectively with applicants, students, academic staff, and professional services teams. Fluency in Kazakh and Russian. English language proficiency at B2 level or above. Desirable Experience working in a higher education institution. Experience working with undergraduate and postgraduate admissions. Experience with government-funded educational grants and scholarship programmes. Experience working with student information systems, including SIMS, Platonus, UPHE, or similar systems. Experience working with conditional offers, academic qualifications, English language requirements, RPL, or deferral processes.
