About the Role
The JHub Coordinator
performsorganizationalandadministrative duties in support ofJHubsprogrammingeffortsand organizational needs. This role reports to theVicePresident, Program Strategy & Managementand provides support to various teams across the organization.
Eventand MeetingCoordination
SupporttheJHubprogrammingteamstoensureexceptionalexecution ofprograms,events, andmeetings:
Maintainand regularly update list of allJHubprograms and events
Assistwithpre-eventlogisticsandcoordinationincludingarrangingconference rooms, catering, presentation materials,handouts, nametags,event supplies,audio/visual setup, etc.
Assistwith program registrations in Salesforce and Form Assembly
Attendeventsandassistwith on-sitelogisticsas needed.
Coordinate details oflarge internal and external staffandBoard of Directorsmeetings. Attend Boardmeetings and take meeting minutes.
Assistwith internal team-building efforts including organizing team culture-building activities andmaintainingstaff information screens/communication
Administration
Support the team onvariousadministrativeneedsincludingsupplyordering, invoice management,cheque requisitions,payment processing,Docusign preparation,expense reimbursements,credit card reconciliation,event registration, credit card processing,etc.
Qualifications
Minimum2-4years of experience providingprogram/event support ordirect administrative support to organizations and executives
Exceptionalorganizational skills and attention to detail
Unflappable with a positive attitude.Ability to meet deadlines, prioritize assignments,andjuggle multiple tasks simultaneously
Self-motivated and proactive
Available to workoccasionalevenings and weekends, where needed, for events
Comprehensive knowledge ofcoresoftware applications andabilityto learnnew technologyquickly isrequired.Previousexperience with Salesforce or another CRM preferred.
Outstandingplanning,written and verbal communication skills
Must be able to work both independently and as an integral member of various teams,highly adaptive to management styles and changing needs, reprioritizing tasks and projects as needed
Interest in and enthusiasm for the nonprofit sector
Commitment tostrong performance, high standard of accountability, and openness to feedback
Must be comfortable working in a fast-paced environment and calm under pressure
*This is a full-time permanent position, Union Level 2.Salary Range: $53,000$63,000 annually, based on experience.
