Job Purpose:
The IMG Clinical Assistant is an International Medical Graduate (IMG) who provides specialized clinical and administrative support within the clinic. This role combines comprehensive clinical assistance to PPM physicians and fellows during procedure-based encounters with structured pre-consultation support for patients presenting with chronic pain and complex medical conditions. The IMG Clinical Assistant is responsible for gathering and organizing detailed patient histories, synthesizing clinical data into physician-ready summaries, coordinating care within the multidisciplinary team, performing advanced clinical procedures, and delivering medical-legal services — all strictly under the supervision and delegation of licensed physicians.
Key Responsibilities:
Clinical Support:
Assist PPM fellows and PPM physicians in procedure rooms by performing patient care in accordance with Changepain’s protocols and delegated medical act processes.
Provide advanced support to PPM physicians in procedure rooms, including x-ray guided procedures, in accordance with Changepain’s delegated medical protocols.
Adhere to x-ray safety protocols at all times.
Assist with patient positioning, including walking or wheeling patients into the procedure rooms as required.
Provide assistance with procedures as directed by the physician, including assisting with skin cleaning and ultrasound probes.
Demonstrate competence in ultrasound settings and assist with ultrasound image and video capture as required.
Take vital signs using monitoring equipment.
Prepare chart notes by compiling patient medical history information and completing charting using appropriate templates.
Assist clinicians in completing medical-legal assessment services and other medical reports, including transcribing dictations and consolidating notes.
Assist with medical emergencies.
Patient Case Management & Clinical Documentation Preparation:
Review, collect, verify, and organize patient information from multiple sources, including referral documents, medical records, regional health information systems (e.g., CareConnect, PharmaNet, and other clinical portals) to ensure accuracy.
Synthesize complex clinical data including medical history, medication lists, diagnostic imaging, laboratory results, and specialist correspondence into structured, concise, and physician-ready case summaries.
Prepare pre-consultation clinical briefs highlighting key concerns, relevant trends, and pertinent findings to support physician review and informed clinical decision-making.
Clinical History Elicitation & Consult Support:
Conduct structured pre-consultation interviews with patients to obtain comprehensive clinical histories, including pain characteristics, symptom patterns, functional limitations, and related medical concerns.
Professionally introduce and present the patient to the supervising specialist to support further clinical assessment and management.
Accurately document all collected information in the Electronic Medical Record (EMR) system to facilitate efficient clinical assessment and consult workflows.
Identify and escalate incomplete information, inconsistencies, or potential clinical concerns requiring timely physician review.
Equipment Management:
Check and set up sterile in-room clinical equipment for procedures.
Check and ensure working conditions for the RFL machine, Platelet Rich Plasma (PRP) process, and cryoablation equipment.
Administrative Support & Patient Communication:
Assist PPM physicians with billing verification and optimization, and administrative tasks before and after appointments.
Manage patient intake processes efficiently, including assisting patients in completing questionnaires.
Oversee incoming and outgoing faxes, ensuring proper filing and processing of documents in patient charts.
Communicate clearly and professionally with patients regarding clinic processes, appointment procedures, and care pathways as directed by the supervising physician.
Coordinate aspects of patient care, including follow-up of diagnostic investigations, referral tracking, and ensuring continuity and accuracy of documentation across treating providers.
Consult with patients on treatment options, obtain consent, handle documentation, monitor patient eligibility, and provide referrals as needed.
Support efficient patient flow and contribute to seamless collaboration between administrative and clinical teams.
Compliance & Professional Practice:
Perform all duties strictly under direct supervision and within the defined scope of practice of a Clinical Assistant.
Comply with all clinic policies, professional standards, and confidentiality requirements in accordance with the Personal Information Protection Act (PIPA) of British Columbia.
Maintain professional boundaries at all times and refrain from providing independent diagnosis, treatment advice, or medical decision-making without physician authorization.
General Support:
Perform clinic opening and closing procedures, including relevant infection control, and inventory tasks as required.
Stock and prepare treatment rooms, monitoring inventory levels under the supervision of the People and Clinical Services Lead.
Maintain electronic medical records, ensuring confidentiality and accuracy of patient charts.
Contribute to quality improvement activities aimed at enhancing documentation practices and workflow efficiency.
Undertake short-term and long-term projects based on individual skills, abilities, and clinic needs.
Execute additional clinical and administrative tasks as required.
Qualifications:
Medical degree or equivalent qualification recognized as an International Medical Graduate (IMG); additional certification in clinical assistance or a related field preferred.
Minimum of 3–4 years of experience providing administrative and clinical support in a medical clinic or related setting, including setting up and managing medical equipment, maintaining sterile environments, and assisting with medical procedures as needed.
Proficient in duties as outlined in Clinical Assistant I and Clinical Assistant II.
Advanced knowledge of medical terminology and all Changepain services for effective communication and documentation.
Demonstrated ability to synthesize complex clinical information and communicate effectively with multidisciplinary healthcare teams.
Strong understanding of chronic pain management, clinical assessment processes, and patient-centred care within a supervised scope of practice.
