Reporting to the HR Director or designate, the Human Resources Assistant (Canada Summer Job) will provide support in a wide variety of human resources matters with a concentration on HR administration, full-cycle recruitment support, training, data entry and benefit support. This role requires support not only to a client group but to the HR needs of the team as a whole. They will handle highly confidential information and therefore requires an individual who can handle sensitive information in the utmost professional manner while demonstrating critical thinking skills. Location: Calgary Centre Project Number: # 021389366 Position Type: Seasonal Employment Full-Time (8 weeks) Schedule: 35 hours per week (Total Number of Hours: 280 Hours) Reporting to: Human Resources Director Number of Positions to Fill: 1 DUTIES AND RESPONSIBILITIES: Recruitment Manage and provide full cycle recruitment support including: Post vacancies on job boards and remove postings on job search sites Update online forms and questions Book interviews and create interview packages as required Send out offer letters trigger regrets for unsuccessful candidates Conduct reference checks as required Track background checks, HR policy signoffs and vulnerable sector checks Support the practicum student and summer internship programs, as required Administration Prepare or draft HR-related communication and submit documents for approval to the HR Advisor for the business unit Create and send Offers of Employment, Transfers, Status Change Updates and other related process documentation Create new employees and enter information into HRIS system Support the Payroll and Benefit Analyst in administrative work for role creation, benefits and pension database administration, and leader/employee interface Receive employee documentation, enter, and update employee records in UKG, coordinate and manage soft copy record keeping, archiving employee files and human resource materials Enter WCB employer reports online for submission, ensure data entered is accurate, and submitted in a timely manner in consultation with HR Advisor Ensure accurate data for tracking work permit eligibility and probationary periods Coordinate and facilitate New Hire Orientation and onboarding materials In concert with other Human Resources Assistants, manage HR and Training inboxes and provide additional support, coverage or back-up to Coordinator team Responsible for managing new hire benefit enrolment and changes Prepare New Baby Gifts and manage gift supplies inventory Provide administrative support to the HR team as required Assist with new HR projects and initiatives when requested Training Ensure all staff are adequately trained according to organizational and contractual requirements: register employees in appropriate training update certificates in employee files and UKG run reports and update Training pivot table upload current version of the pivot table onto Portal Assist with the annual Training Audit MINIMUM QUALIFICATIONS AND SKILLS Post-Secondary education in Human Resources Management or equivalent combination of experience, education, and training Background in payroll and benefit administration an asset Human resources experience in a fast-paced environment is considered an asset Strong working knowledge of Microsoft Office Programs (i.e., Word, Outlook, Excel, etc.) and human resources information systems; SharePoint knowledge an asset Meticulous attention to detail, ability to prioritize and strong time management skills Ability to work in a team environment and interact effectively with staff at all levels Proven critical thinking and problem-solving skills Excellent customer service skills with strong skills in maintaining appropriate boundaries Integrity, discretion and judgment with tact and diplomacy on confidential matters Excellent verbal and written communication skills with an understanding of confidentiality and protocol is essential Strong organizational skills with effective multi-tasking skills WORKING CONDITIONS Office based role, sitting for extending period. Also standing and walking are required as part of this role.
