HR and Faculty Relations are seeking an energetic and motivated individual to join its team. The Division oversees a full range of personnel, labour relations, and human resource planning functions for faculty, while integrating equity, diversity, and inclusion into all HR processes, decision-making, and service delivery.
This is a fast-paced, high-volume environment that involves handling sensitive and confidential matters. The role offers an opportunity to work at the intersection of professional HR practice and social equity within a complex, unionized setting.
The HR Assistant, Faculty Relations provides administrative, coordination, and information management support to the HR Manager – Faculty Relations. This role supports the timely and accurate delivery of HR services related to faculty labour relations, recruitment, records management, and process execution, working closely with faculty members, academic leaders, union representatives, and other internal stakeholders.

RESPONSIBILITIES
Under the general direction of the HR Manager of Faculty Relations, the successful candidate will:
Provide administrative support to the Faculty Relations division, including scheduling meetings, preparing correspondence, maintaining confidential files and providing general clerical support.
Support the integration of equity, diversity, and inclusion into HR workflows and initiatives
Process financial documents and contracts for Faculty Relations and provide similar support to the EDIHR division.
Prepare letters of offer and contracts for Sessional hires
Maintain sessional roster
Support the HR Manager-Faculty in managing faculty relations issues, workplace investigations, and other HR processes.
Provide support in the application of faculty collective agreements and institutional policies
Respond to routine inquiries and identify issues requiring escalation to the HR Manager
Records management
Maintain clear and inclusive communication with faculty members and internal stakeholders.
Ensure confidentiality and ethical handling of sensitive employee data
Other projects and duties as required
QUALIFICATIONS
Successful completion of a post-secondary program from a recognized educational institution in a related office studies program with three years related experience; an equivalent combination of training and experience will be considered
Training and/or experience in Human Resources labour relations would be an asset
Must demonstrate awareness of equity, diversity and inclusion principles and a commitment to fostering a respectful and inclusive workplace environment.
Familiarity with the UPEI environment and policies would be an asset
Experience working with HRIS systems, preparing employment contracts and working in a labour relations environment
Comprehensive knowledge and skills in advanced word processing, electronic information systems, spreadsheet, and presentations applications
Have a thorough understanding of collective agreements and related processes in a unionized environment
Strong attention to detail regarding data accuracy and documentation is required.
Demonstrated organizational abilities, initiative, and flexibility
Ability to prioritize and meet various deadlines
Clear understanding of the need for discretion and confidentiality
Ability to communicate effectively orally and in writing
Demonstrated interpersonal skills with the ability to work both independently and as part of a team
