Job DescriptionJob Description Role: Hockey Program Coordinator Location: Guelph, Ontario Compensation: $50,000–$65,000 Reports To: Board of Directors Position Type: Full-Time (Hybrid) This is a hybrid role , with a blend of office, remote, and rink‑based work. About the organization: Our client is a not‑for‑profit hockey association committed to delivering a safe, inclusive, and development‑focused hockey experience for youth across Guelph and the surrounding region. We’re looking for a highly organized, community‑minded Hockey Program Coordinator to lead the administration and delivery of our recreational programs. This role is ideal for someone who thrives in fast‑paced environments, enjoys working with volunteers and families, and is passionate about creating exceptional experiences for young athletes. Position Overview This role serves as the central point of contact for families, bench staff, convenors, and facility operators, ensuring smooth program execution, policy compliance, and a positive experience for all participants. Key Responsibilities Program & Team Operations Oversee day‑to‑day operations across a recreational hockey programs. Manage registration, rosters, waitlists, transfers, and participant communication. Coordinate seasonal requirements for volunteers, bench staff, and convenors. Manage player registration in alignment with association, OMHA, and Hockey Canada policies. Support coach selection, onboarding, and certification compliance. Co‑lead player evaluations, including scheduling, communications, logistics, and roster creation. Maintain and update website content; provide social media content. Ice Scheduling & Facility Coordination Plan, allocate, and manage all ice time for seasonal schedules, pre‑skates, evaluations, and programming. Build strong relationships with facility operators and external schedulers. Adjust bookings as needed to support program changes, tournaments, and special events. Logistics, Equipment & Financial Administration Coordinate jersey fittings, team photo sessions, and seasonal equipment needs. Support sponsorship execution, including jersey logo placement and sponsor recognition requirements. Communications, Member Relations & Governance Maintain official records, incident reports, insurance documentation, and player files. Serve as the first point of contact for operational inquiries and conflict resolution. Monitor governing body updates (OMHA/Hockey Canada) and represent the association at required league meetings. Support policy review and ensure ongoing compliance across all programs. Attend required league/governing body meetings and communicate updates to the Board. Qualifications Post‑secondary degree or diploma in Sport Administration, Recreation Management, or related field (or equivalent experience). Strong project management, organizational, and multi‑tasking skills. Exceptional written and verbal communication skills with a professional, approachable demeanor. Reliable personal transportation to attend rinks within Guelph and surrounding areas. Knowledge of OMHA and Hockey Canada rules, regulations, and evaluation guidelines.
