McInnes Cooper is seeking an
Office Services Clerk (Swing Position)
to join our
Halifax
office in a full-time, permanent position.
As a Swing Position, you'll provide support across multiple Office Services functions, including Reception, Hospitality, Mail Services, Office Operations, and the Document Centre. You'll play an important role in ensuring our office operates efficiently while delivering an exceptional experience for both clients and colleagues.
What you'll do
Responsibilities
As an Office Services Clerk, you'll provide support across a variety of operational functions, including:
Mail, Courier & Office Operations
Process incoming and outgoing mail and courier deliveries.
Deliver and replenish office supplies.
Assist with office moves and workspace set-up.
Support general office operations and equipment.
Reception & Client Experience
Welcome clients and visitors with professionalism and warmth.
Provide reception coverage during scheduled breaks and absences.
Answer and direct incoming telephone calls.
Coordinate boardroom bookings and meeting requirements
Hospitality & Meeting Support
Prepare meeting rooms and event spaces.
Assist with hospitality services throughout the office.
Maintain coffee stations and shared kitchen areas.
Ensure client-facing spaces remain welcoming and professional.
Document Centre
Prepare documents for printing, copying and scanning.
Perform quality assurance on document production.
Troubleshoot document production equipment.
Work closely with internal clients to prioritize requests and meet deadlines.
Provide feedback and identify opportunities for improvement
What you'll need
Qualifications
The successful candidate will have:
Grade 12 diploma or an equivalent combination of education and experience.
Outstanding customer service and communication skills.
Strong organizational and time management skills.
Excellent attention to detail.
A collaborative, positive, and adaptable approach to work.
The ability to manage competing priorities in a fast-paced environment.
Proficiency with Microsoft Office and the ability to quickly learn new technology.
Experience operating photocopiers, scanners, and document production equipment.
Experience in a legal or professional services environment would be considered an asset.
