Position Summary and Objectives:
The Field Installation Team Scheduler/Dispatcher is responsible for developing, optimizing, and coordinating weekly installation schedules to maximize workforce utilization, field productivity, and customer service. This position serves as the primary scheduling and dispatch coordination point for medical equipment installation teams and is responsible for aligning installer availability, qualifications, geographic location, equipment delivery, and site readiness with customer installation requirements. The position proactively monitors schedules and resource availability, identifies potential conflicts or coverage gaps, and makes timely adjustments to support efficient completion of field installation activities.
Essential Position Functions:
Develop, optimize, and publish weekly work schedules for all field installation teams.
Analyze installer availability, qualifications, certifications, geographic location, and scheduled workload to optimize workforce utilization and field productivity.
Assign installation teams based on applicable OEM certifications, qualifications, experience, availability, and geographic location.
Optimize installer travel and routing efficiency were practical while balancing operational requirements and customer commitments.
Coordinate installer assignments and travel across multiple states and geographic regions.
Coordinate installation schedules with equipment delivery, rigging, site readiness, customer requirements, and other project dependencies.
Assign crew vehicles and other resources necessary to support scheduled installation activities.
Monitor schedules independently and proactively identify potential conflicts, coverage gaps, installer absences, and resource constraints.
Rebalance schedules and make timely adjustment in response to schedule changes, project delays, customer requests, and other operational needs.
Communicate work assignments, schedule changes, and project updates to installation teams, operations personnel, and other relevant stakeholders.
Contact installation teams to dispatch and confirm work assignments and communicate relevant project and scheduling information.
Serve as the primary scheduling and dispatch contact for field installation teams.
Escalate unresolved scheduling conflicts, resource shortages, customer-impacting issues, and other operational concerns to appropriate management personnel.
Coordinate basic travel and resource requirements, including rental vehicle reservations, cancellations, and related communications with installation teams.
Process urgent customer rescheduling requests and adjust installation schedules as necessary to minimize operational disruption.
Maintain accurate job assignments, status updates, scheduling information, and relevant notes with the company's dispatch and operational systems.
Maintain the confidentiality of company, employee, customer, and business information and exercise appropriate discretion in handling confidential matters.
Follow applicable company policies, procedures, business processes, quality and safety requirements.
Demonstrate and promote company values and contribute positively to team and organizational objectives.
Perform other duties and responsibilities as assigned or required to support business operations.
Competency Requirements:
Bachelor's degree in business administration, operations management, or other related fields.
Equivalent combination of education, training, and relevant experience may be considered.
Two or more years of experience in field dispatch, logistics coordination, workforce scheduling, workforce planning, or a related operational role.
Experience coordinating personnel, resources, schedules, or field service activities across multiple geographic locations preferred.
Proficiency Microsoft Office applications, dispatch platforms, workforce management systems, ERP systems, and other operational software.
Ability to organize, analyze, and interpret operational data.
Strong analytical and problem-solving skills with the ability to evaluate multiple variables and make logical, timely decisions.
Demonstrated ability to coordinate geographic coverage, workload distribution, workforce utilization, and travel requirements.
Strong organizational skills with the ability to manage multiple schedules, priorities, and time-sensitive requests simultaneously.
Excellent verbal and written communication skills, with the ability to effectively communicate with field personnel, customers, management, and internal departments.
Ability to make sound decisions and adjust priorities quickly in response to changing operational requirements.
Strong attention to detail and demonstrated ability to maintain accuracy when managing schedules, assignments, and operational data.
Ability to work independently with minimal supervision while maintaining effective communication with remote and onsite team members.
Ability to remain professional, adaptable and effective in a fast-paced environment with frequent changes and competing priorities.

General Equipment/Machines Used:
Standard office equipment, including but not limited to computers, laptops, smartphones, telephones, copy machines, printers, and other office equipment and materials customary for the position.
Physical Demands:
Work is primarily performed in an office or home-office environment and requires regular use of computers, telephones, and other office and communication equipment. For employees working onsite, the position may require the ability to sit, stand, walk, reach, and move throughout the office and, as applicable, production or operational areas during the workday. The position also requires frequent keyboarding, computer use, telephone communication, and interaction with customers, coworkers, and other individuals.
Mental/Cognitive Demands:
The position requires regular attention to detail and accuracy when managing schedules, assignments, operational data, and related documentation. The position requires the ability to organize and prioritize multiple tasks, respond to changing priorities, manage frequent interruptions, and exercise sound judgment when addressing scheduling and resource-planning issues. The position periodically requires work under time-sensitive conditions, including the ability to manage competing priorities, respond appropriately to changing business needs, and maintain accuracy while performing multiple tasks simultaneously.
Working Conditions:
Work may be performed onsite, in a hybrid arrangement, or remotely from and approved home-office environment, depending on business requirements and management discretion. Employees working remotely are expected to maintain a suitable working environment that supports the performance of their job responsibilities and required communication. Normal work hours are generally Monday through Friday during morning through early evening hours; however, regular weekend work and availability is an ongoing requirement to support field installation scheduling, dispatch, and operational needs. Employees may also be required to adjust their work schedule as necessary to support customer and operational requirements.
Compensation:
The pay range for this position is $62,800 to $69,00 annually. It is not typical for an individual to be hired at or near the top of the pay range and compensation decisions are dependent on the facts and circumstances of each case. The specific compensation offered to a candidate may be influenced by a variety of factors including skills, qualifications, and experience.
