- This role is in-person at North Campus Edmonton.
Reporting to the Faculty General Manager, the Faculty Administration Coordinator will act as the primary Faculty administrative support in the areas of Finance and HR for operational accounts. Acting as the first point of contact within KSR, this role assists the community with navigating and understanding processes, policies, and procedures and has responsibility to assist in resolving issues, removing barriers, and providing support in these areas. In all facets of this role, this position endeavors to integrate and advance the University’s commitments to accessibility, community, and belonging. The Faculty Administration Coordinator will be the primary transactional support for Faculty financial matters for operational accounts. This includes supporting revenue generation and international partnership activities, such as Alberta International School/Beijing Sport University and Fitness Testing Services. The position will be required to assist the budget holders and ensure that billing/invoicing is done in a timely manner.
Supporting HR activities for operational accounts, the Faculty Administration Coordinator will be a reliable source of information for the Faculty (in addition to the HR partner services) with respect to HR processes on campus, including but not limited to, hiring and recruitment and recruitment practices.
This position will be required to anticipate daily fluctuations in workload in terms of volume and variety, as well as independently prioritize their workload to meet the expectations and timelines from all areas the position services. The position requires primarily in-person work.
Responsibilities
Demonstrates an understanding of University Finance policies and procedures and advises staff, students, and Faculty where to access services.
Performs ad hoc financial data gathering and report generation for budget holders (e.g., Fitness Testing Services) and answers queries as able to.
Manages the requisition, replenishment, and administration of petty cash requests.
Reconciles and processes cash and cheque deposits.
Prepares and submits financial forms to the Staff Service Centre (SSC) and liaises with SSC staff to ensure completion.
First point of contact for staff and Faculty on HR processes and inquiries related to collective agreements (NASA/ASSUA/GSA, etc.), appointments, job design time entry, job classifications, etc.
Escalates HR-related issues and inquires to HR partner, and/or FGM, as required.
Assists hiring managers with the completion of position evaluations and job descriptions prior to review by the HRP.
Qualifications
Diploma (preferably in business administration or accounting).
2-3 years of progressively responsible operational support experience, preferable in a post-secondary setting.
Proficiency in PeopleSoft HCM, Financials, Campus Solutions, SupplyNet, MS Office, and Google applications.
Excellent computer skills, including proficiency in the use of database, spreadsheet, and word processing software.
