Summary
The Facility Coordinator supports the day-to-day operations, maintenance, and coordination of facility services to ensure a safe, efficient, and functional workplace. Acting as a key point of contact for building operations, vendors, and employees, this role supports office, laboratory, and common areas.
This position requires a hands-on approach, with regular involvement in physical facility support tasks, alongside coordination and administrative responsibilities.
Responsibilities
Facilities & Maintenance Support
Conduct regular facility walkthroughs to identify and report safety, maintenance, or operational issues
Perform minor repairs and general maintenance tasks, including basic carpentry, furniture assembly, hardware replacement, and painting touch-ups
Assist with office setups, furniture moves, and space reconfigurations
Maintain facility supplies and monitor inventory levels
Escalate complex or specialized work to external contractors when required
Support facility-related emergencies and coordinate after-hours responses when necessary
Work Order & Daily Operations
Receive, track, and follow up on facility work orders and service requeststo ensure timely resolution
Respond to facility-related emails and inquiries, routing requests as appropriate
Coordinate with internal teams, vendors, and property management to maintain service levels and resolve issues efficiently
Vendor & Contractor Coordination
Assist in coordinating vendors, contractors, and landlord services, including maintenance and minor repairs
Schedule and support preventive maintenance programs, inspections, and service visits
Follow up on open tasks to ensure completion and quality work
Administrative & Facilities Support
Assist with processing and tracking purchase orders, invoices, and facility-related documentation
Maintain accurate records of maintenance activities, service requests, and facility data
Support the distribution, tracking, and collection of keys, access cards, name tags, and other building access devices
Education
DEC or higher education in Facilities Management, Building Operations, Property Management, or a related field
Main Requirements
1 to 3 years of experience in a Facilities Coordinator or similar role
Experience in biotechnology, pharmaceutical, healthcare, or laboratory environments is an asset
Strong knowledge of commercial building systems and maintenance coordination
Hands-on technical aptitude with the ability to perform minor repairs and general maintenance tasks
Experience coordinating vendors, contractors, and service providers
Proficiency with Microsoft Office applications (Word, Excel, Outlook, PowerPoint)
Strong administrative and organizational skills with attention to detail
Excellent problem-solving, prioritization, and time management abilities
Strong interpersonal and communication skillswith a customer-service mindset
Ability to work both independently and collaboratively in a fast-paced environment
Bilingual in English and French (spoken and written)
Familiarity with CAD or graphic software knowledge is an asset
Working Conditions
This is an on-site role;
Monday to Friday from 9:00am – 5:00pm, with flexibility to work early mornings/evenings/weekends, as required;
Plus on-call availability for after-hours facility emergencies;
