Position Overview:
Lambert Nemec Group is working with a well-established Winnipeg organization to recruit a skilled Executive Assistant to provide high-level support to senior leadership.
This role is central to ensuring smooth coordination across leadership priorities, operational activities, and organizational initiatives. The Executive Assistant will support planning and execution across fundraising, communications, and internal projects while maintaining a high standard of confidentiality, accuracy, and professionalism. The ideal candidate is highly organized, proactive, and comfortable managing a broad and shifting workload with minimal direction.
Key Responsibilities:
Oversee scheduling and calendar coordination for senior leaders, ensuring effective prioritization of meetings and commitments
Provide comprehensive administrative support to executive leadership and cross-functional teams
Assist with monitoring budgets, reconciling expenses, and supporting basic financial tracking activities
Coordinate invoice submissions, approvals, and related administrative workflows
Manage incoming communications, including email, phone inquiries, and correspondence, ensuring appropriate response or escalation
Draft, edit, and format professional documents such as reports, presentations, letters, and internal communications
Support research activities related to fundraising, marketing, and organizational development initiatives
Maintain accurate digital and physical records, ensuring systems are well-organized and up to date
Enter, update, and manage data across internal tracking systems
Organize meetings and events, including logistics, agendas, materials, and minute preparation
Assist in the coordination of volunteer activities, including onboarding and engagement support
Liaise with internal teams and external service providers to coordinate operational and IT-related needs
Act as a key connector between leadership, internal departments, and external stakeholders
Support ad hoc projects and provide additional administrative assistance as required
Requirements:
5+ years of experience supporting senior leaders in an Executive Assistant or advanced administrative capacity
Strong ability to manage multiple priorities in a fast-moving and deadline-driven environment
Excellent written communication skills and the ability to produce clear, professional documentation
Strong interpersonal skills with the ability to interact confidently with internal and external stakeholders
Highly organized, detail-oriented, and capable of working independently
Strong judgment, discretion, and ability to handle confidential information appropriately
Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
Experience supporting fundraising, donor engagement, marketing, or volunteer programs is considered beneficial
Familiarity with CRM or donor database systems would be an asset
Rewards:
Salary range of $50,000 – $55,000 annually
