We’re excited to offer a unique opportunity to join our Events team as an Event Optimisation Specialist. Reporting to the Senior Manager, Events, you’ll play a critical part in ensuring our building, events, and teams are seamlessly coordinated, when multiple events are taking place at the same time. You’ll bring structure, clarity, and efficiency to complex event environments, helping teams work together to deliver exceptional experiences. The Event Optimisation Specialist provides a venue-wide perspective across all events, particularly concurrent events, coordinating building flow, shared spaces, event branding, and planning activities to support safe, efficient multi-event operations. The role serves as the primary planning liaison for Facilities and Capital Projects, ensuring alignment with infrastructure, maintenance, and capital work. Through oversight of planning standards, event documentation, and system accuracy, the role ensures event requirements are coordinated, complete, and ready for successful delivery. What You Will Do: Coordinate planning across and between concurrent events, maintaining alignment and control during multi-event and high-complexity periods Oversee building flow and the use of shared and pre-function spaces to support safe, efficient operations and clear ownership Coordinate late-stage space booking requests and modifications and resolve planning conflicts Review and approve event branding applications and placements in accordance with venue standards and operational requirements Serve as the primary planning liaison with Facilities and Capital Projects, ensuring event plans align with infrastructure, maintenance, and capital work Lead planning governance through effective and consistent use of floorplans and related systems, ensuring data accuracy, clear documentation, and visibility of event requirements Monitor event planning and scripting to ensure information, and operational requirements are complete, coordinated, and ready for delivery Support Event Managers and Coordinators with timely planning decisions, helping to reduce ambiguity, conflicts, and rework Ensure planning decisions and event requirements are documented, communicated, and integrated across departments early in the planning process Manage complex event files and provide additional planning support during peak periods and evolving business needs Model collaborative, innovative, client-focused and project-driven behaviours that contribute to team culture and success Chair weekly Readiness Review (Ops Meeting) and bi-monthly Optimisation Review (Function Review), and attend weekly Production Meeting, ensuring alignment across teams and clear direction on priorities and constraints What You Will Bring: 4-year university degree or equivalent Bachelor’s degree in Business, Operations Management, Event Management, or a related field preferred Equivalent education and experience will be considered Must have 7–10 years of progressive experience in event planning, optimization, process management, or project coordination within complex environments Demonstrated experience planning large-scale, high-complexity events Experience owning planning processes, systems, or governance frameworks Experience in convention centres, venues, hospitality, entertainment, or public-facing environments is a strong asset Strong proficiency with Microsoft 365 and digital collaboration tools Advanced knowledge of Momentus and event planning systems Experience managing floorplan software and planning tools Clear, efficient communicator who supports teams through complex planning decisions Able to translate standards, constraints, and priorities into actionable guidance Keeps planning conversations focused, productive, and decision-driven Applies structured thinking to improve planning efficiency and reduce complexity Anticipates downstream impacts of planning decisions on delivery Balances speed, consistency, and quality in a live event environment The salary range for this position is $79,425 - $99,282 Offers to align with experience and internal equity How To Apply: To be considered for this position, please submit your resume and cover letter by clicking on the ‘Apply Now’ button below before 12:00PM, Friday, September 18, 2026.
