Description:
The Secretary provides professional assistance and support to the Superintendent of Education.
Completes a broad variety of important and vital administrative tasks and manages extremely active and complex calendars.
A system thinker who can effectively manage multiple tasks, shifting priorities and urgent timelines while maintaining strict confidentiality with all information.
Supports the management of all budgets overseen by the Superintendent of Education;
Administrative duties will also encompass responsibility for taking and preparing system and Board committee agendas, minutes, communications; drafting letters; preparing memoranda; coordinating with community agencies and HWCDSB partners (e.g., City of Hamilton; Child Care organizations; Hamilton Police Services); formatting board reports; and preparing other relevant documents; coordinating with various Superintendent portfolio responsibilities; understanding and legal aspects of Superintendent responsibilities such as 3rd Party Agreements
Support the implementation and overview of HWCDSB policies e.g., procurement; school trips; school generated funds; etc.
Supporting Superintendent events, including but not limited to planning, organizing, communicating, and facilitating at time of event.
Excellent public relations skills required when relating to Trustees, parents, principals, other boards, Ministry of Education, board personnel and the community at large.
Qualifications:
Minimum three (3) years previous experience in an administrative supportive role
Minimum Required – Office Administration – General - Ontario College Diploma
Advanced proficiency in MS Office (Word, Excel, PowerPoint, Outlook)
Experience with Human Resources database software (ISYS Approval, ISYS Works and ISYS Works Time Sheets,)
Fluency in financial/budget software (BAS and Sparkrock), student database software (Aspen) and Professional Development Management Tool
Comprehensive knowledge of Ministry of Education and Board policies and procedures
Proven secretarial skills;
Ability to work with other secretaries as part of a team;
Must possess excellent interpersonal and communication skills when dealing with Trustees, Principals/Vice-Principals, Senior Administration, other school boards, Ministry of Education;
Ability to be a self-starter, prioritize tasks, and plan ahead;
Excellent decision-making skills.
