We have an exciting opportunity to join our General Counsel’s team!
Stikeman Elliott is one of Canada’s leading business law firms. The Coordinator, General Counsel’s Office plays a key role in supporting the Associate General Counsel and Corporate Secretary across a wide range of administrative, legal, executive, and operational activities. The position has a focus on governance work and works closely with senior leaders to provide administrative support to the Partnership Board, the Executive Committee and the Firm Partners’ Meetings.
This role is ideal for a highly organized, proactive professional who enjoys coordinating complex processes and solving problems. The successful candidate is a critical thinker with excellent judgment, strong attention to detail, and the ability to anticipate needs and manage competing priorities in a fast-paced professional services environment.
Kep Responsibilities:
Partner Meetings, Committee Meetings & Governance Coordination
Supports meeting logistics and scheduling of quarterly committee meetings, Annual Partner Meeting, November Firm-wide Partner Meeting, training sessions, and more
For the Partnership Board, coordinates and implements the annual meeting schedule, reporting schedule and deadlines, planning calendar, meeting agendas, and hotel accommodations
For the Annual Partner Meeting, maintains a project plan and budget, tracks registrations, and maintains the SharePoint site
Supports the Professionalism & Ethics and Claims & Risk Committees by coordinating quarterly meetings, maintaining claims records and key documentation, and assisting with the delivery of training programs
Maintains governance records and documentation, ensuring records are organized and accurate
Document & Contract Management
Drafts, reviews, edits, and formats a variety of governance, regulatory, and business documents
Manages the repositories and assists with tracking of various firm level contracts
Regulatory Compliance
Coordinates the Firm's regulatory and compliance obligations by coordinating filings, preparing responses to information requests, maintaining records, and liaising with regulatory bodies, government agencies, and external stakeholders
Manages the firm-wide Annual Compliance Disclosure Process
Projects, Programs, Events & Policies
Coordinates the annual review and maintenance of Firm policies, ensuring documentation is current and appropriately communicated
Tracks and maintains documentation for external directorships, charitable sponsorships and investments
Tracks and compiles reports for Corporate Social Responsibility Program
Key contributor in the planning and execution of the Firm’s Partnership Board Election Process
Develops partner compensation calendar and coordinates printing and distribution of all materials
General Administrative Support
Provides administrative support on a wide range of administrative, executive, and operational-related activities such as, calendar & email management, meeting planning & coordination, file & document management, cyclical activities and task management
Coordinates boardroom set-up including food/beverage requirements for various meetings
Coordinates materials to be distributed in advance of various meetings
Prepares proxies and develops tracking sheets of attendees in person or by proxy
Prepares shells of Minutes for various meetings
Manages the SharePoint site and other repositories to track and file key documents
Coordinates requisite signatures for Minutes and maintains official Minute record/archive
Knowledge and Experience, Skills & Abilities:
Ideally 3+ years of experience in a Professional Services environment
Undergraduate degree is required
Advanced knowledge of Microsoft Office (Outlook, Word, Excel, and PowerPoint), DocuSign, and Adobe Acrobat
Strong critical thinking and problem-solving skills
Strong organizational skills and ability to efficiently progress work to completion
Strong attention to detail and commitment to producing high-quality work
Able to adapt to changing technology in an environment of continuous learning
Discrete with confidential information and communication
Strong interpersonal skills, professional, and responsive
Salary Range (Toronto Only):
$55,000 - $65,000 annually. The posted salary range reflects the expected compensation for this role. Final offers are determined based on relevant skills, qualifications, and experience.
