About this position
The Coordinator, Crew Records & Pay is responsible to the Manager, Flight Crew Training34 for the overall management of crew qualification records, training files, and pay records.
Reporting to:
Manager, Flight Crew Training
Duties & Responsibilities:
Ensuring safety is the primary objective by adhering to the Canadian North safety policy and utilizing the appropriate safety reporting program in order to identify and communicate all known hazards and risks to the organization;
Manage the crew sick bank;
Investigate pay anomalies and implement checks to ensure accuracy; Respond to crew member inquiries regarding the reconciliation of scheduled activities and pay;
Compare each crew member's actual schedule against the monthly originals
Run various reports to QA crew pay and submit to Crew Allowance & Payroll
Update and maintain crew records and training files;
QA paperwork submitted from training pilots & FA instructors to ensure accuracy
Set up/update AIMS to reflect accurate expiry dates for the Crew Planners
Run expiry reports at the end of each month to ensure training files & AIMS are updated for Crew Scheduling
Investigate any outstanding training expiries and update Crew Scheduling as required
Verify LMS completions prior to filing/updating training records
Coordinate with the Manager of Flight Crew Training to align LMS training programs for all crew members
Ensuring that the reporting of accidents, incidents or hazards are reported appropriately and within a timely manner;
Assisting with safety investigations
Assisting with audits for all crew records
Main administrative point of contact between HR, Crew Planning & Crew Scheduling for employees going on leave or returning from leave (STD, LTD, MED, LOA etc..)
Prepare COS/LOA/Termination paperwork for all flight crew & Flight Operations' employees and submit to HR
Prepare Position Approval Forms (PAF's) for signatures and submit to HR
Coordinate with Inflight Management & designated signees at each base to ensure DG cards are distributed to crew
Coordinate with HR, Inflight Management, Chief Pilots & Flight Ops Admin when onboarding new hires
Ensuring continual improvement through the periodic review of documented processes;
Analyze and apply policies and procedures in accordance with the ALPA and CUPE collective agreements;
Provide business analytics reporting to Finance, Flight Operations Management with regards to sick time, overtime averaging and monthly statistics for budgeting and analysis;
Continuously coordinate with Payroll, Inflight Management, Chief Pilots, Crew Planning & Crew Scheduling to ensure everyone is on the same page in terms of pay, leaves, training paperwork, scheduling issues and crew expiries
Skills & Qualifications:
Two (2) years of Post Secondary Education
Three (3) years of previous experience
Previous experience in Payroll Administration is an asset
Previous customer service experience
Previous airline operational experience is an asset
Knowledge of Company and Transport Canada Regulations governing crew members (including flight and duty time limitations)
Knowledge of crew tracking systems (AIMS) and Microsoft Office applications (Excel, Word, PowerPoint, Outlook) is an asset
Working knowledge of existing collective agreements preferred
Proven ability to work under pressure with strict deadlines
Flexibility to work overtime, if required
Superior and proven organizational, interpersonal and communication skills (written and oral)
Ability to communicate in Inuktitut a definite asset
Ability to obtain and retain a Restricted Area Identity Card in accordance with the Airport Restricted Area Access Clearance Program regulated by Transport Canada
