Position Summary
Join Bow Valley College as an Admissions Representative and play a key role in supporting prospective students on their journey into post-secondary education. Reporting within the Admissions team, the Admissions Representative provides guidance and support to applicants throughout the admissions process, ensuring applications are complete, accurate, and ready for formal decision. This role specializes in admissions for Canadian residents and citizens and works collaboratively with applicants, Admissions Officers, internal departments, and external partners to support enrolment goals and student success.
The Admissions Representative is responsible for processing incoming applications, transcripts, and supporting documentation for an assigned portfolio of programs. The successful candidate will monitor application statuses within the student information system, proactively communicate with applicants regarding outstanding requirements, and ensure files are complete for assessment by Admissions Officers. This role also supports the preparation and distribution of admission offers, rejection decisions, and operational correspondence while maintaining a high standard of professionalism, confidentiality, and compliance with provincial and institutional privacy regulations.
In this role, you will provide timely, compassionate, and easily understood support to applicants through phone, email, online messaging, and in-person interactions.
You will assist applicants with navigating the admissions process, triage complex inquiries to appropriate departments or senior colleagues, and support admitted students with basic registration and college navigation guidance. Additional responsibilities include monitoring confirmation deposits, reviewing incomplete or withdrawn applications, processing refunds and registration changes as directed, monitoring enrolment targets and waitlists, and exercising professional judgement when extending admissions-related deadlines or prioritizing files for review.
The ideal candidate brings strong organizational skills, attention to detail, and the ability to manage competing priorities in a fast-paced environment. You are comfortable working collaboratively with diverse teams and supporting applicants from a wide range of backgrounds with empathy, professionalism, and accuracy.
Qualifications
The successful candidate will possess a post-secondary diploma along with a minimum of one year of experience in a customer service, student support, or educational support environment. Candidates must demonstrate strong communication and interpersonal skills, experience supporting diverse clientele, and confidence providing service through multiple communication channels including phone, email, online platforms, and in person. Strong proficiency with Microsoft 365, Microsoft Windows, database systems, and browser-based applications is required. An equivalent combination of education and experience may be considered.
Preference will be given to candidates with experience working in a fast-paced environment requiring strong time management and organizational skills, familiarity with the post-secondary education sector, and experience interpreting policies, terminology, or guidelines for diverse audiences.
