LEN-S26-27-3863 Administrative Support Agent, Principal Class – Replacement Champlain College Lennoxville Lennoxville (Ville de Sherbrooke) Material Services Coordinator of IT and Material Resources Sherbrooke Full-time Replacement Champlain College Lennoxville is seeking the services of an ADMINISTRATIVE SUPPORT AGENT, PRINCIPAL CLASS to work on a temporary full-time basis in the photocopying/receiving/mailroom. This is a one-year replacement contract. FUNCTIONS The incumbent will report to the Coordinator of IT and Material Resources, and he/she will be ensuring the operation of the Copy Center, mailings, and distribution of office supplies. The incumbent will be ensuring the coordination of a set of administrative tasks from a specific area of activity. He/she can also be assigned to one or several tasks which are specialized and are characterized by complexity, expertise and autonomy according to methods and procedures of a relatively complex nature. SPECIFIC TASKS – Printing multiple documents for faculty, staff and administration; – Operating the Fiery Software used to produce digitized documents for all departments; – Contacting Xerox technicians for any repairs or maintenance; – Printing and preparing each course pack within the required timeframe for sales by the bookstore; – Distributing all stationery and supplies to faculty, staff and administration; – Keeping an inventory of all stocked and distributed supplies and o replacements when necessary; – Distributing all incoming mail to faculty and staff (via mailbox); – Preparing all outgoing mail; – Operating the postage machine; – Monitoring the courrier services. – Handing out of assembled and paid bookstore orders. – Completing the receiving of all the purchases made by the College In the Material Services area, the duties will consist of: – Maintaining, updating and assigning keys, cards/fobs, and alarm codes for Champlain Building offices and mailboxes; – In collaboration with the material services team, maintain and update and inventory of all physical assets including furnishings, machinery, and building components, including all active maintenance and service contracts for these assets; – In collaboration with the material services team, maintain and update a calendar of scheduled maintenances; – Communicating with Bishop’s security and using access control system for special events; – Serve as a resource for CAG collective purchasing agreements related to material services and assist in the updating of projected replacement cycles; Performing any other related tasks as required. WORKING HOURS Monday to Friday, 8:00 a.m. to 4:00 p.m. Education To have a diploma of vocational studies (DEP) with appropriate specialty or a secondary school diploma (DES) or have a diploma or an attestation of studies which is recognized as equivalent by the competent authority. Experience Six (6) years relevant experience. Other Effective communication skills in both English and French. Must be comfortable with Microsoft Office Suite. Must possess good interpersonal skills.
