About the Role
The Administrative Assistant provides comprehensive administrative support to ensure the efficient operation of the various programs in the School of Nursing and Midwifery. This position is responsible for managing day-to-day office activities, coordinating meetings and communications, maintaining records, preparing correspondence and reports, and assisting with various projects as assigned. The Administrative Assistant serves as a key point of contact for internal and external stakeholders and contributes to a positive, organized, and professional work environment.
This position is a full-time permanent position working 35 hours per week.
Responsibilities
Coordinate meetings, including agendas, materials, logistics, and minutes.
Prepare routine correspondence, reports, and documentation.
Support hiring processes, student appeals, accreditation, and program reviews.
Assist with event planning, including orientations and open houses.
Support clinical placement tracking and pre-practice requirement data entry.
Maintain faculty information, survey data, and program records.
Coordinate travel arrangements and meeting logistics.
Respond to inquiries from students, faculty, applicants, and the public.
Maintain professional and confidential communication with internal and external stakeholders.
Work collaboratively with administrative staff across the School and University.
Build and maintain Google and D2L sites.
Perform other related duties as assigned.
Qualifications
One-Year post secondary certificate/program completion.
2 - 3 years of related experience, with previous administrative experience in an academic or similar setting preferred.
Strong organizational, communication, and time-management skills.
Ability to handle confidential information with discretion and work independently in a busy environment.
