BR2 Architecture is looking for a highly organized, detail-driven
Administrative Assistant
to support the day-to-day operations of the firm.

This role is a key part of making that happen. You’ll work closely with Partners, Associates, and team members across the firm to support calendars, client communication, proposals, documentation, office systems, and internal coordination. In a deadline-driven environment, strong administration protects billable time, supports client service, and helps the whole team do better work.
We’re looking for someone who takes pride in being the calm, capable person behind the scenes. The person who keeps things moving, catches the small details before they become annoying problems, and helps create an office experience that feels professional, responsive, and well-run.
What You’ll Do
As the Administrative Assistant, your day-to-day responsibilities will include:
Coordinate calendars for Partners and Associates, including internal meetings, client meetings, consultant meetings, and contractor coordination.
Prepare meeting rooms, materials, and technology so meetings run smoothly.
Monitor and prioritize incoming communications and requests.
Act as a first point of contact for visitors, calls, and general inquiries.
Direct communication appropriately and maintain a professional, polished standard in correspondence.
Support follow-up communication, document distribution, contact databases, and mailing lists.
Prepare, format, edit, and proofread proposals, reports, contracts, invoices, and presentations.
Assist with layout formatting in Adobe InDesign when required.
Ensure documents reflect BR2’s brand, standards, and attention to detail.
Maintain digital and physical filing systems.
Manage office supplies, vendor relationships, couriers, printing, and document reproduction.
Take meeting minutes and track action items.
Support data entry, expense tracking, and basic bookkeeping tasks as needed.
Help coordinate lunch and learns, internal events, team functions, and engagement activities.
Support internal communication initiatives that help keep the team connected and informed.
What We Expect to See on Your Resume
5-7 years of experience with at least 3 years of experience in an administrative role, ideally within a professional services environment.
Experience supporting multiple leaders or senior team members at the same time.
Advanced comfort with Microsoft Office, especially Word, Excel, PowerPoint, and Outlook, with strong proofreading, formatting, and document preparation skills.
Proficiency with Adobe Acrobat and working knowledge of Adobe Creative Cloud. InDesign experience would be a strong asset.
Experience supporting proposals, reports, presentations, or client-facing documents would be helpful in this role.
