Job DescriptionJob Description Part Time Administrative Assistant (Weekend Shifts) Job Description: The Administrative Assistant will support a busy transportation team within a large third‑party logistics organization. In this front‑office role, you will act as the first point of contact for truck drivers and visitors, accurately check shipments in and out, and enter critical information into the warehouse management system. You will help keep freight moving smoothly by handling documentation, coordinating with multiple departments, and providing clear, professional communication to drivers and customers. Responsibilities Serve as the primary front‑office contact for the transportation team, greeting and checking truck drivers and shipments in and out of the terminal. Accurately enter shipment details into the company’s warehouse management system, including Bills of Lading (BOLs) and Proof of Deliveries (PODs). Maintain and update internal databases with timely and precise shipment, delivery, and inventory information. Communicate proactively with the shipping and receiving teams to resolve inventory discrepancies and ensure accurate records. Handle inbound and outbound phone calls from drivers seeking directions or assistance, and from customers inquiring about delivery status. Direct callers to the appropriate person or department, or independently assist them with issues such as damaged or lost shipments when possible. Collaborate with multiple internal departments, including transportation and less‑than‑truckload (LTL) teams, to support smooth daily operations. Provide general administrative and clerical support, including data entry, document handling, and use of Microsoft Office tools such as Outlook and Excel. Demonstrate strong attention to detail to minimize errors that could result in financial or operational impacts. Work both independently and as part of a small office team, showing initiative and problem‑solving skills in a fast‑paced environment. Essential Skills At least 1 year of clerical or administrative experience, preferably within a distribution or transportation environment. Strong command of the English language, with the ability to communicate clearly and professionally with multiple departments and external contacts. Proficiency in general administrative support, including data entry and document management. Experience using Microsoft Office, including Outlook and Excel, for daily administrative tasks. Customer service skills with the ability to handle phone calls from drivers and customers in a helpful and professional manner. High level of attention to detail to ensure accurate data entry and documentation. Ability to work independently, manage time effectively, and prioritize tasks in a busy office setting. Strong teamwork and communication skills to collaborate with shipping, receiving, and other internal departments. Work Environment This is a part‑time role with typical hours from 6:00 a.m. to 4:00 p.m. The position is based in the front terminal office, where approximately seven team members work together at any given time. The office is located within a busy logistics terminal, and drivers as well as warehouse staff frequently walk through the space, creating an active, blue‑collar trucking environment. The company offers a stable environment with the potential for benefits and pension when transitioned to a permanent role. Job Type & Location This is a Contract position based out of EDMONTON, AB.
