Position Overview
An experienced Administrative Assistant is required to provide day-to-day operational support to a fast-paced team. This role involves a combination of administrative coordination, financial processing, and organizational support to managers and staff.
Key Responsibilities
Provide administrative support to team members and leadership
Manage calendars, schedule meetings, and coordinate logistics (including room bookings)
Assist with financial processes such as invoice tracking, expense management, and basic reporting
Prepare, format, and review documents for accuracy and completeness
Maintain both digital and physical records management systems
Support meeting activities including agenda preparation, minute-taking, and follow-ups
Coordinate events and internal team activities
Essential Qualifications
Strong proficiency in Microsoft Word and Excel (document formatting, tracking, reporting)
Experience handling invoices, expenses, and basic financial processes
Proven ability to organize meetings, events, and logistics
Excellent written and verbal communication skills
Ability to manage multiple priorities and work independently
Experience with records management (digital and physical)
Strong attention to detail with the ability to identify and correct errors
Asset Qualifications
Familiarity with administrative or financial systems (e.g., expense or invoice tracking tools)
Experience preparing professional documents such as briefing notes or memos
Strong meeting coordination skills (agenda creation, minutes, follow-ups)
Experience working with data, analytical, or technical teams
Proactive mindset with the ability to anticipate team and leadership needs
