Core Responsibilities
1. Accounts Payable (AP) Support
Process and code incoming vendor invoices with a high degree of accuracy.
Reconcile vendor statements and investigate discrepancies or missing invoices.
Assist in the preparation of weekly or bi-monthly payment runs (EFT, Cheque, or Wire).
Maintain organized digital and physical filing systems for audit readiness.
2. Accounts Receivable (AR) Support
Generate and distribute customer invoices and monthly statements.
Perform high-volume data entry for customer payments and bank deposits.
Monitor aging reports and perform polite, professional collections follow-ups.
Assist with new customer account setups and credit applications.
3. General Data Entry & Reporting
Perform routine bank and credit card reconciliations.
Maintain accurate records in the General Ledger.
Assist with month-end closing procedures and the preparation of basic financial reports.
Identify opportunities to streamline data entry processes through automation or software features.
Required Skills & Qualifications
Experience:
1–3 years of experience in an administrative or junior accounting role.
Education:
Diploma or Certificate in Accounting, Finance, or Business Administration is preferred.
Technical Proficiency:
Strong command of
Microsoft Excel
(e.g., XLOOKUPs, Pivot Tables).
Experience with Quickbook Online is an asset.
Familiarity with data extraction tools (e.g., Dext) is an asset.
Soft Skills:
Uncompromising attention to detail and accuracy.
Ability to manage multiple deadlines in a fast-paced environment.
High level of integrity when handling sensitive financial and personal information.
