Position: Executive Assistant to the Chief Administration Officer
Department: Operations
Employment Status: Contract (Ending March 2027)
Salary: $30.34 $36.25/HR 35 Hours per Week
Location: Naughton, ON
Closing Date: March 18, 2026, at 4pm
POSITION SCOPE:
The Executive Assistant shall provide support to the Chief Administration Officer (CAO) to ensure successful completion of the tasks and assignments undertaken by the CAO.
The Executive Assistant will be responsible for communications with funding organizations, various levels of government agencies, crown corporations, not for profit organizations, other First Nations, and other First Nation organization.
REQUIRED QUALIFICATIONS:
A College Diploma in Office Administration or Grade 12 with equivalent experience (minimum of
three years)
2-3 years of relevant experience
Excellent computer skills with experience in Microsoft Office 365.
Ability to organize a daily workload by priorities.
Must be able to meet deadlines in a fast-paced quickly changing environment.
A proactive approach to problem-solving with strong decision-making skills.
Professional level verbal and written communications skills are imperative.
KEY RESPONSIBILITIES:
Greet visitors, ascertain nature of business and direct visitors to the CAO and/or appropriate person(s)
Greet telephone and electronic inquiries; and relay telephone calls and messages
Exchange information about ongoing work with co-workers and colleagues
Prepare financial documents, reports, memos, invoices letters, and other documents.
Band Meetings Attend monthly Band meetings, preparing and finalizing briefing notes for presentation
to Gimaa and Council
Provide technical support during Band meetings, ensuring all necessary materials, equipment, and
technology are set up and functioning properly. Coordinate the preparation and distribution of meeting
agendas and relevant materials in advance and follow up on action items and decisions post-meeting.
